Inventory Preparation
A few days prior to the beginning of the tenancy one of our clerks will provide a detailed inventory / list of the property. This includes all the decorative conditions such as walls, ceiling, skirting, doors and windows. Also in our report we list all the fitted furniture, cupboards, carpets, furniture, crockery, cutlery, appliances, linen, curtains etc. At the same time we describe the facts as to the condition the property is in, including any defects and the cleanliness of the property. Photos of the property are included in every report.

On the day before the tenant moves in (or preferably the day before) we re-visit the property with two draft copies of the typed inventory. We meet the tenant/tenants' representative and go through every item listed in our report. At this point the tenant/tenants' representative has an opportunity to make any fair points if agreed by our clerk. At the end of this we then agree the cleanliness and sign the schedule of condition in our inventory. All the check-in comments will be updated and incorporated on the final inventory supplied.

As tenants do not always want to listen to someone dictating an inventory, we can dictate the inventory first, then after that is completed, meet the tenants and do a walk round check-in. Everything agreed with the tenant is included on the final inventory supplied.

Check-Out
At the end of the tenancy our clerk will attend the property and compare the original condition with the condition at the end of tenancy. We will then prepare a report of the differences, based on the facts only. Any item found to be in the same condition as at commencement will not be commented on. Whenever possible photographs are taken of defects.

When the property is re-let, it is important that the inventory report will need to be updated together with photographs and meter readings. In most cases after a check-out various works will have been done afterwards, such as cleaning repairs, redecorating, additional items added, or missing items replaced. For example it would be impossible to know if stains have come out, touch up marks repaired, and maintenance completed without a re-visit. This means that all these points need to be incorporated so the report is accurate for the next tenancy. This ensures there are no disputes at the start at the next tenancy. An update is compiled without the tenant/tenants' representative present. This means that tenants will check the inventory themselves after they have moved in.
